{"id":20128,"date":"2021-06-23T12:30:08","date_gmt":"2021-06-23T10:30:08","guid":{"rendered":"http:\/\/help.qualiware.it\/qw-help\/?p=20128"},"modified":"2021-06-23T14:36:25","modified_gmt":"2021-06-23T12:36:25","slug":"documents-search","status":"publish","type":"post","link":"https:\/\/help.qualiware.it\/qw-help\/documents-search\/?lang=en","title":{"rendered":"DOCUMENTS SEARCH"},"content":{"rendered":"<p lang=\"en\">The <strong>Documents&nbsp;Search<\/strong> form allows you to search for one or more documents by applying filters:<\/p>\n<p lang=\"en\">&nbsp;<\/p>\n<p lang=\"en\"><a href=\"https:\/\/help.qualiware.it\/qw-help\/wp-content\/uploads\/07docsea10_en.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-26960\" src=\"https:\/\/help.qualiware.it\/qw-help\/wp-content\/uploads\/07docsea10_en.jpg\" alt=\"\" width=\"755\" height=\"430\" srcset=\"https:\/\/help.qualiware.it\/qw-help\/wp-content\/uploads\/07docsea10_en.jpg 965w, https:\/\/help.qualiware.it\/qw-help\/wp-content\/uploads\/07docsea10_en-768x437.jpg 768w\" sizes=\"(max-width: 755px) 100vw, 755px\" \/><\/a><\/p>\n<p lang=\"en\">&nbsp;<\/p>\n<h4 id=\"ipt_kb_toc_15743_0\" align=\"left\"><a name=\"filtri\"><\/a><span lang=\"en\">SEARCH FILTERS<\/span><\/h4>\n<p lang=\"en\">Use the following options depending on what you want to search:<\/p>\n<ul>\n<li lang=\"en\">in the drop-down box <span style=\"color: #993300;\"><strong>Documents<\/strong><\/span>&nbsp;<span style=\"color: #990000;\"><b><span style=\"color: #993300;\">Category<\/span>&nbsp;<\/b><\/span>specify a category of documents, or leave as &#8220;All&#8221;;<\/li>\n<li lang=\"en\">specify, if you know the <span style=\"color: #990000;\"><b>Document Code<\/b><\/span>, in order to limit the search to documents specified subcategory;<\/li>\n<li lang=\"en\"><span lang=\"en\">in the field <span style=\"color: #990000;\"><b>Words to search<\/b><\/span>, type the word you want to search for;<\/span><\/li>\n<li><span lang=\"en\">If you want to search only the documents published before such a date, you can fill in the fields <span style=\"color: #990000;\"><b>Published from&nbsp;&#8211;<\/b>&nbsp;<b>to<\/b><\/span><\/span>;<\/li>\n<li>You can also search for documents by choosing editor drop-down box <span style=\"color: #990000;\"><strong>edited by<\/strong><\/span><b>&nbsp;<\/b>the name that it concerns;<\/li>\n<li><span lang=\"en\">If the word is not part of the title but it is inside the text tick <span style=\"color: #990000;\"><b>Search in text<\/b><\/span><\/span>;<\/li>\n<li lang=\"en\">Remove the check mark in the field <span style=\"color: #990000;\"><b>Ignores cases <\/b><\/span>if you want to specifically search for uppercase or lowercase words;<\/li>\n<li lang=\"en\">Choose if search <span style=\"color: #990000;\"><b>At least one word<\/b><span style=\"color: #000000;\"> or <\/span><b>All the words <\/b><\/span>if you want to refine your search.<\/li>\n<\/ul>\n<p><i><span lang=\"en\"><span style=\"color: #ff0000;\"><b>NOTE<\/b><\/span>&nbsp;<\/span><span lang=\"en\">If you do not give other filters the program searches only published documents<\/span><\/i><\/p>\n<p lang=\"en\">The search can be further limited to only:<\/p>\n<ol type=\"a\">\n<li lang=\"en\"><span style=\"color: #990000;\"><b>documents waiting for action<\/b><\/span> = documents that are waiting for a check, approval or publication by you;<\/li>\n<li><span lang=\"en\"><span style=\"color: #990000;\"><b>documents distributed<\/b><\/span> = documents that were distributed to a recipient in particular: by selecting this box, you will see a field where you can enter the name of the <span style=\"color: #990000;\"><b>Recipient<\/b><\/span>; the magnifying glass button<\/span><span lang=\"en\">&nbsp;opens a list of possible recipients (taken from the registry&nbsp;of units, persons, etc.); <\/span><span lang=\"en\">next to the button will show even the box <span style=\"color: #990000;\"><b>only doc. new<\/b><\/span>, checking which will show only those documents that have not yet had confirmation of receipt by the recipient.<\/span><\/li>\n<li><span style=\"color: #990000;\"><b lang=\"en\">include documents in drafting phase<\/b><\/span><\/li>\n<li><span style=\"color: #990000;\"><b lang=\"en\">include obsolete documents<\/b><\/span>.<\/li>\n<\/ol>\n<p><span lang=\"en\">Then launch the search button <strong><span style=\"color: #900000;\">Start Search<\/span><\/strong><\/span>.<\/p>\n<p lang=\"en\">You can stop the searching process by pressing ESC.<\/p>\n<p><span lang=\"en\">If you have checked the option <b><span style=\"color: #990000;\">include obsolete documents<\/span>&nbsp;<\/b>in the list that results from research, the documents no longer in force are highlighted by the term *** NO LONGER VALID ***. <\/span><span lang=\"en\">Also, if you click to open a document no longer valid, before the view a&nbsp;warning message is given.<\/span><\/p>\n<h4>&nbsp;<\/h4>\n<h4 id=\"ipt_kb_toc_15743_2\"><a name=\"risultati\"><\/a><span lang=\"en\">Search results<\/span><\/h4>\n<p><span lang=\"en\">If the search terms without a result, given a clear message: <i>Found 0 Documents<\/i><\/span>.<\/p>\n<p><span lang=\"en\">The displayed documents can be opened or simply displayed with the respective buttons <strong>&#8220;Open&#8221; <\/strong>and <strong>&#8220;Read&#8221;<\/strong><\/span>.<\/p>\n<p>Through the &#8220;<strong>Filter&#8221; <\/strong>button you can make a further filter on the columns of the list of documents found..<\/p>\n<p lang=\"en\">Through the &#8220;<strong>Export to Excel&#8221; <\/strong>button you can export the list of documents obtained in a spreadsheet.<\/p>\n<p lang=\"en\">The button <strong>&#8220;create ZIP&#8221;<\/strong> creates a ZIP file containing all documents found.<\/p>\n<p><span lang=\"en\">The button <strong>&#8220;Print&#8221;<\/strong> allows you to launch the printing of all documents found. <\/span><span lang=\"en\">This function is present <b>only <\/b>in the client\/server version.<\/span><\/p>\n<h4>&nbsp;<\/h4>\n<h4 id=\"ipt_kb_toc_15743_3\"><a name=\"distribuzione_multipla\"><\/a><span lang=\"en\">DISTRIBUTION OF DOCUMENTS SEARCHED<\/span><\/h4>\n<p><span lang=\"en\">Is it possible to send the documents found directly from this form, pressing the button <strong>&#8220;Distrib.&#8221;<\/strong>. <\/span><span lang=\"en\">This will open the&nbsp;<a href=\"http:\/\/help.qualiware.it\/qw-help\/distrdocform\">multiple distribution<\/a><\/span>.<\/p>\n<p lang=\"en\">This function can be used by all users, but the list shows only those files for which the user has editing rights, this being a prerequisite qualification to perform the deployment.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>The Documents&nbsp;Search form allows you to search for one or more documents by applying filters: &nbsp;
