<\/p>\nThe Document Manager Configuration form\u00a0appears as shown in the figure:

Press the button “New category<\/span>“<\/strong> and, in the fields “Code type” <\/strong><\/span>and “Description”<\/strong><\/span>, enter a code and a description of the category<\/p>\n By checking the box “fictitious Category<\/span> (tree node)”<\/strong> you will\u00a0not create a real documentation management category, but simply a node of the tree with the fuction of grouping\u00a0other categories (fictitious or otherwise). <\/span><\/p>\n NOTE\u00a0<\/b><\/span>This field is editable only when you create a new category and before saving\u00a0her. <\/span>For a fictitious category you cannot define templates and ratings, as it does not contain any documents physically.<\/span><\/p>\n If you want, you can also give the category a particular name which appear in the tree, other than its official description: use the field description for the tree<\/b><\/span>: if left blank, the description will coincide with that shown in the Description field. <\/span>This field can come useful\u00a0when you don’t want in the tree to be repeated a description that is already in the fictional mother category. <\/span>E.g., if there are Procedures, Instructions and Manual\u00a0relating to the Development Environment\u00a0system, a fictional category called Environment will be created, from which will depend 3 categories that will have as\u00a0description “Environment Procedures”, Environment Instructions” and “Environment Manual”, and as descriptions for the tree respectively, Procedures, Instructions and Manual.<\/span><\/p>\n If you want the new category to depend on a fictitious category, in the field depends on<\/b><\/span>\u00a0indicate the enclosing category, otherwise leave the indication <Root><\/b><\/span> which means the category\u00a0will be assigned as the first node in all the documentation tree.<\/p>\n In the field “order”<\/strong><\/span>, must be specified a number for a progressive sort of categories, so that the display of categories may be even logic and not purely alphabetical (with the same number will be ordered for description).<\/p>\n If checked the field “Category”<\/strong><\/span> published documents of the category in question will be visible to all users for consultation, regardless of distribution.<\/p>\n The field’s checkbox “don’t show in the tree”<\/b><\/span>, instead, makes sure that the category in question is not included in the document tree. <\/span>If it is a Fictitious\u00a0<\/b>category, also hides all categories that depend on it.<\/span><\/p>\n If it is a normal document, press the tab Single\u00a0Document<\/strong><\/span>, and choose between:<\/p>\n Generic Documents <\/i><\/span>are documents of free writing.<\/p>\n<\/li>\n Forms <\/i><\/span>characterize those documents partly protected, so as not to be editable if not in form fields, i.e. compilation-build fields.<\/p>\n<\/li>\n Offers <\/i><\/span>are those documents whose drafting passes through a specific data-entry form that collect special information of a commercial character.<\/p>\n<\/li>\n Audit check lists <\/i><\/span>if the category must go to establish a list of feedback for the Inspections.<\/p>\n<\/li>\n<\/ul>\n You can set an expiration date for a particular category. By checking the box “use progressive numbering YEAR\/NUMBER”<\/strong> the program automatically handles a year\/number\u00a0type of numbering, without the need for the user to remember to enter the year.<\/p>\n In the field “Documents validity time in month<\/em><\/strong>” indicate the number of months of validity for the category in question.\u00a0<\/span>At the time of publication, the program will automatically calculate the expiry date of the document, adding the months shown here to the publication date (the expiry date of each document can still be changed manually).<\/span><\/p>\n If the category need\u00a0a manualistic type of setting, press the tab Handbook<\/b><\/span> that will get a slightly different section: Specify a “current edition number”<\/strong>, useful especially if it incorporates a Manual already existing; <\/span>otherwise, it will start from 0 or 1, as you prefer. <\/span>Edition number, however, can also be changed from the Document Management form.<\/span><\/p>\n<\/li>\n Create the Cover<\/em> document by pressing the button define, where appropriate, the\u00a0custom fields for which it is possible to manage dossiers\u00a0like other documents (for the dossiers\u00a0management, see the section<\/a><\/span>).<\/p>\n<\/li>\n<\/ul>\n Also for categories of manualistic type document you can use the Custom Fields and Collating<\/a><\/span><\/p>\n You can divide each category into sub-groups\u00a0<\/b>in order to have a better view of the tree (see example). <\/span>Press the button “Subgroups”<\/strong> which will open a special form<\/a> <\/b><\/span>. To delete a category of documents<\/span><\/strong>, it is necessary that there are no files in that category<\/i> (it is not necessary that there are no models or covers or Word temporary files; in these cases the elimination takes place anyway).<\/p>\n Select the category you want to delete and press the button “delete category”<\/strong><\/span>.<\/p>\n The button “edit posts”<\/strong> allows you to customize the texts of messages created by the program for the distribution of documents through a special mask<\/a><\/span>.<\/p>\n The built-in fields are mandatory<\/b>, i.e. they cannot not be displayed because, for ISO standards, are fundamental requirements.\u00a0Bu they can be customized in<\/span>:<\/span><\/p>\n label<\/b><\/span>: is the field header and can be left blank to keep the standard header; Y<\/span>ou can type a different name; <\/span>You can decide not to display that field to the category in question, by typing here “#”.<\/span><\/p>\n<\/li>\n link to<\/b><\/span>: this feature allows you to connect the field to a registry of QualiWare, to parameterizable causal or to a list derived from a custom query: In this way, in the corresponding column in the documentary category, you can choose the reference from a defined list.<\/p>\n NOTE<\/strong><\/span>\u00a0<\/span>If, in addition to choosing from the linked list, you want to let the opportunity to add extra-list names, do not<\/b> tick the box “allow only choice from the list”<\/strong>. <\/span>If, viceversa, you want to limit the selection to only those names already encoded, tick\u00a0it.<\/span><\/p>\n When to a custom field, you connect an articles registry\u00a0or customer-supplier registry, is created a link of\u00a0documents<\/b>: each document of the\u00a0category in question will appear between the linked documents of articles or\u00a0customer-supplier\u00a0corresponding to the codes entered into custom fields.<\/p>\n NOTE<\/strong><\/span>\u00a0<\/span>Only the default field “number”<\/strong> does not have the ability to insert a link, because it is a purely progressive-numeric mandatory requirement.<\/span><\/p>\n <\/p>\n Each documental category can be freely customized in very simple and intuitive way using the Form Designer<\/b><\/span>. Press the button ” Form Designer Desktop vers.”<\/strong> to open the programming form<\/a><\/span>. The category defined as “single document (form)”<\/strong>, have in addition the button “Define Form Report” <\/span><\/strong>that allows you to define the size of the form print, choosing among several options:<\/p>\n In the “Customizing Fields”section, we find the following links:<\/p>\n To create a new template<\/b> , press the button To modify an existing template<\/b>, press the button\u00a0 To change the name of the template file, open the pop-up menu with the right mouse button on the list of bulleted models and choose the entry Change template file name<\/b><\/span>\u00a0(in the absence of at least one model, the menu item is not displayed): By checking the “In the document creation-time show only the category templates” <\/strong>flag, when you will create a document within this category, the template selection window will present only the models planned for the category<\/b>\u00a0itself\u00a0<\/strong>(i.e. will not present other options normally planned).<\/p>\n<\/li>\n<\/ul>\n <\/p>\n Passing to the “<\/span>dynamic <\/em><\/span>list <\/em><\/span>Query<\/em>” tab, you can differentiate the list of templates<\/b> to be presented in\u00a0the creation of a new document, depending on the data entered in the “new document data entry” form<\/span>.<\/p>\n In the Notes field dynamic list query<\/b><\/span>, insert query that will be executed at the time of presenting to the user\u00a0the list of available templates. <\/span>The query must:<\/span><\/p>\n be defined on the DOCUMENT table,<\/p>\n<\/li>\n return TYPE, TYPE_CONT, and NUMBER fields and<\/p>\n<\/li>\n be filtered on documental categories containing templates that you planned to use, as well as on specific documents.<\/p>\n<\/li>\n<\/ol>\n In the document templates, you can define specific fields that contain the data that is defined by the Documentation Editing form, so that program itself will\u00a0assign this data, to guarantee a correct indication of management references inside the document itself.<\/p>\n Place your cursor in your document where you want to insert the field.<\/p>\n<\/li>\n Open the QualiWare Fields menu and choose the data you are interested in: when you create a new template, in fact, in the General menu of Microsoft Word, and Microsoft Excel custom toolbar is present a special menu item:\u00a0QualiWare Fields<\/b>, which contains all the informative fields that come from the program and that can be inserted in the document, divided into three categories <\/span>:<\/p>\n<\/li>\n<\/ol>\n<\/a>SINGLE DOCUMENT<\/span><\/h4>\n
