HOW TO CREATE A DOCUMENT
In the process of creating a new document (from the “new document data entry”), once all the required fields have been filled in correctly by pressing the button you will access to the choice of the model of the document:
As you can see you can create the document:
- starting from one of the default templates for the category in question (this category templates );
- starting from an existing document, which can be searched on the disk by choosing (check for existing document );
- by entering in the category in question of document management an automatically created zip file from files in a specified folder (create Zip files from folder); Note: this function is not available in the web version.
- creating a new document in Word, Excel or Openoffice (clicking blank document );
- starting from a document to scan (From scanner )
- starting from an existing file that you previously copied to the Clipboard, so the document is created exactly equal to that file (the Clipboard Content); This is the common way to insert in the program preexisting documents.
If you want to have the list of set models for each category, you can enable the option “show models of other categories being created” in the section “General settings” in Admin Console.
NOTE If, when you open this window, there is only the first option (models in this category), in “Documentation Management Configuration”, it means that the box “created document shows only the category templates” was ticked. To see all options of choice model, just then remove the check mark.
By pressing the button “create” or double clicking on the chosen element will be created and opened the document, and you can begin editing.
OCR FUNCTION
The OCR function is extremely useful when you are scanning documents with the scanner, because it allows you to search in scanned texts. It converts PDF documents, images in TIF, JPG or BMP to PDF documents searchable.
When choosing the model described above, you click on the option “From scanner”, you start up below the following entry that allows you to define the format of the document you’re importing: importing it as a PDF you can make inside fulltext searches (as long as you have purchased the OCR Module ).
You can choose also the format of images.
