DEFINITION OF BUSINESS UNITS BY ORGANIZATIONAL CHART

The form Business Unit Management / Org. Chart collects all units present in the company, and it is important for the purposes of the allocation of responsibilities and qualifications. Compiling this form with each corporate unit must precede the filling of the Users and permissions form, in which the field Unit invokes the units here encoded.

The form consists of a table:

  • Press the button P_pulsantino_piuto insert a new unit.
  • In the field Code is reported the code assigned to each unit (the identification of the units with a code and a description is important, because in some cases the code reference can simplify the recognition of the phase).
  • In the field Description is reported the complete description of the unit.
  • In the field Depends on enter the code of the higher-level unit of the one in object.
  • Tick the box Staff if the selected unit is the assistant of the one from which depends on. NOTE In the event of a check, however, the unit cannot have units under him.
  • Check the box No org. if you want the selected unit doesn’t appear in the organization chart.
  • In the field Dept. Code report, if necessary, the code of a Department (from the Customer/Supplier Registry) associated with the unit.
  • In Processes is reported the number of processes which has been associated with each unit. With the button “Process List” you can see the list of these processes:

by the Clicking on a related process you can open the registry form.

  • The fields Valid. Start and Valid. End serve to define the validity period of a unit. Each unit has a validity start date (date of creation). When that unit no longer exists (e.g. as a result of internal restructuring of the company) the validity end date is added. The units for which you have submitted a Validity end date won’t appear in your organization chart anymore.
  • In Audit fr. (months) you can indicate every how many months you are expected to check over the unit.
  • The top toolbar allows you to attach documents to business units: to open the Linked document viewing, use the button P_pulsantino_doc_coll-en.
  • By checking the box “Show only active units” you can display in the grid only the lines of the units that contribute to the current organization chart.
  • The button “Generate department” allows you to create automatically a department in the customer/supplier registry with the code R+code of the unit and description equivalent to the unit.
  • In the field “Approval date of organization chart” you can specify a date on which the organization chart is to be officially approved.
  • You can generate from this form the Graph of company organization chart:
    • limited to a unit ( “Selected unit” button)
    • or complete for all the company ( “All the company” button)

REVIEW AND ORGANIZATION OF THE CHART

  • The button “Store PDF” allows you to store a PDF version of your organization chart into a document category “Business Organization” (which, the first time, is automatically created in the Document Tree). In this way you can keep an archive of various versions of organization chart. The button opens a window for setting the print to PDF.
  • The button “Show historic” allows you to revoke all previous versions of the overhauled units.
  • Use the buttons P_pulsantino_piuand 01pulsantino_elimina to respectively add or delete a unit.
